Version 1.0 · Effective 27 September 2026
Mayfair Atrium Limited (company number 13505902), registered office at 167-169 Great Portland Street, Fifth Floor, London, England, W1W 5PF, operates Property Desk. Contact for privacy queries: info@mayfairatrium.com.
Mayfair Atrium Limited is a controller for information needed to create and secure user accounts, administer subscriptions, operate the platform, handle support, meet legal obligations and protect the Service. A landlord or property-management business using Property Desk may be an independent controller for tenant and property-management information it enters. In some circumstances Mayfair Atrium Limited may process that information on the customer's documented instructions; see the Data Processing Notice.
Depending on the processing, we rely on performance of a contract, compliance with legal obligations, legitimate interests in securely operating and improving the Service, and consent where consent is the appropriate lawful basis (for example optional marketing). Required service processing is not presented as blanket “GDPR consent”.
Uploaded documents may be classified and read using OCR or other extraction technology so fields can be suggested. Financial, compliance and contractual fields are designed for human review before final posting. Property Desk is not intended to make solely automated legal or similarly significant decisions about users.
Where necessary, information may be processed by contracted hosting, storage, backup, security, malware-scanning, OCR, communications, support, payment and app-store providers. We may also share information where required by law, regulation, court order or with professional advisers. We do not sell personal data to advertisers.
If a production service provider processes personal data outside the UK, we will use an applicable lawful transfer mechanism and appropriate safeguards where required, and the live provider list and privacy documentation should reflect that arrangement.
We apply a documented retention schedule rather than keeping data indefinitely. Active-account information is retained while needed to provide and secure the Service. Tenancy and shared property records may be reviewed for retention after the tenancy or instruction ends, commonly using a six-year review point where necessary for contractual, dispute or legal-claims purposes. Financial and tax records may need to be kept for applicable statutory periods. Security, incident and audit records are retained for a proportionate period based on security and accountability needs. Data may be held longer where a legal hold, dispute, fraud investigation or other lawful requirement applies.
Closing a tenant or landlord login can end future account access, but it does not automatically erase information that another party legitimately needs as part of a shared tenancy record or information that must be retained for legal, tax, accounting, security, dispute or evidential reasons. Where erasure applies, information will be deleted or anonymised as appropriate.
Subject to the law and circumstances, you may have rights of access, rectification, erasure, restriction, portability, objection and withdrawal of consent where consent is relied upon. Requests can be made through the Privacy Centre where available or by emailing info@mayfairatrium.com. You may complain to the UK Information Commissioner's Office.
Property Desk is designed to use HTTPS, mandatory MFA, password hashing, role-based access, session controls, audit logging, secure upload validation, malware scanning/quarantine in production, backups and separated production secrets. No internet service can guarantee absolute security; users must also protect their credentials and devices.
The Service is not designed for children to create independent commercial landlord accounts. Any use involving a person under 18 must have an appropriate lawful basis, authority and tenancy or safeguarding arrangement.
Privacy versions are recorded. Material changes may be presented in the Service and may require renewed acknowledgement where appropriate.
